Cancellations and Missed Appointments
If you need to cancel an appointment, we ask that you provide as much notice as possible. Appointments that are cancelled with less than 24 hours’ notice or missed without prior notification will be charged at the full session rate. If we need to cancel or reschedule an appointment, we will make every effort to provide you with sufficient notice. Private health insurers do not cover unattended or late-cancelled appointments, and in such cases, the full session fee will remain your responsibility.
Payments and Insurance Cover
Invoices for services must be settled upon receipt. Clients who are self-funding may choose to pay per session on the day of the appointment.
For clients using private health insurance, invoices will be submitted directly to the insurer where applicable. However, depending on the policy, an excess charge or shortfall may apply, and any unpaid fees not covered by the insurer will be the client’s responsibility. It is the client’s duty to confirm coverage details with their insurer prior to commencing therapy. Any outstanding fees must be settled within seven days of receiving an invoice. Failure to do so may result in a suspension of future appointments until payment is made.
Confidentiality and Data Protection
Harmony in Health Therapy Centre is committed to maintaining strict confidentiality and ensuring that all personal data is handled in compliance with the General Data Protection Regulation (GDPR) 2016. Personal data is used solely for providing therapy services, processing payments, and fulfilling legal or regulatory obligations.
Client data will not be sold or shared with marketing agencies; however, it may be shared with insurers or relevant entities involved in treatment where necessary. Therapy reports may be shared with referring professionals unless the client explicitly requests otherwise. In exceptional circumstances, confidentiality may be breached without client consent if there is an immediate risk of harm to the client or others, or if legal obligations require disclosure.
